How to navigate storage plan upgrades, data optimization, and file management

Upgrading Storage Plans

Each subscription plan includes a set amount of default storage, with the option to purchase additional space as needed. Users can view their current storage usage and upgrade their storage capacity through their user profile. To access these options:

  1. Log into the platform.
  2. Click the blue ROSALIND logo in the upper right corner.
  3. Select 'Storage Usage'
  4. Choose from the available upgrade plans.

Storage Optimization & File Management

To view storage details, open the 'Storage Usage' menu from the user profile. Scroll to the bottom of the page to see a summary of the data usage for each experiment in the account. For storage optimization, click on an experiment name to directly access the File Management section and review options for downloading or deleting associated files and data in greater detail:

 

In the File Management section for each experiment, only the owner of the experiment has the ability to delete unnecessary files, allowing the ability to free up space without removing the entire experiment. For example, removing large source files, such as FASTQ reads, is typically the most effective method to decrease storage usage while still allowing for ongoing analysis. Users have the option to select individual files by checking their boxes for deletion, or, if available, they can choose to delete all source files at once:

 

Please note, not all files in the File Management tab can be deleted, as some are essential for the analysis to function. Files that cannot be deleted will display a lock symbol on the right-hand side, indicating that they are protected:

 

 

The total storage used by each experiment varies based on the size and type of analysis and includes backend and derivative files required to maintain the analysis on the platform. If an entire experiment is no longer needed, it can be deleted by the owner using the Project & Experiment Management options.

Account Lock After Exceeding Storage Limit

As users approach their storage limit, the ROSALIND team will send email notifications as a reminder to take action. If the limit is exceeded, accounts may become locked. While users will still be able to log in and access existing analyses, the ability to create new experiments, comparisons, or filters will be disabled. A 'Storage Limit Exceeded' message will appear across the platform, with an 'Add More Storage' link to the user profile where options to optimize storage or upgrade the subscription can be found.

 

Accounts will be unlocked and the 'Storage Limit Exceeded' warning will clear once additional storage is purchased or enough data has been deleted to remain within the current storage limit. If there is a belief that an account has been locked in error, or if it remains locked after actions have been taken, users are encouraged to contact their account manager. They can also contact support at support@rosalind.bio or submit a ticket through the blue '?' menu in the upper right corner of the app.
